Safe Amigos ("we") is committed to using all reasonable means at our disposal to protect your privacy and ensure that your experience interacting with our website and our services makes you feel welcome, valued as an individual customer (or potential customer), safe and secure.
This policy outlines how we collect and use your Personal Data (see its definition below). It should be read in conjunction with our contractual terms which are set out in:

A few definitions
"Data Controller" - a Data Controller is an individual or organisation that gathers information about living individuals and determines what information should be gathered and how it is used.
"Data Processor" - a Data Processor holds Personal Data but does not exercise control over how it is used. We use a number of third parties to operate our business and our Services, and so these third parties are Data Processors.
"Data Subject" - any living individual using our Services and for whom Personal Data is gathered, stored and processed.
"Cookies" - cookies are small files of data that reside on your computer that allow us to recognise you whenever you connect to our website(s) or our Services.
"Personal Data" - any information that can be used to identify a person, and may include but is not limited to, name, email address, physical address, location, job title, credit or debit card number, and other personally identifiable information.
"Pod" - people that group together to offer safety and support to each other.
"Pod Member" - member of a Pod who can raise alerts.
"Pod Owner" - person or organisation that created and/or manages a Pod.
"Pod Responder" - person that is notified if an alert is triggered by or for a Pod Member.
"Geo-location" - a defined area on a map which can be a place or a building.
"Services" - our website and any services that we provide to you.
data we collect
We collect some or all of the following Personal Data when you register and use our Services:
Mobile phone number
Employer (if you are using our services in relation to your work)
Job title (if you are involved in purchasing services on behalf of your organisation)
Date of birth (to establish if you are a minor)
Gender (in case it is needed to provide you with assistance in an emergency situation)
IP address(es) used to connect to our services
Device(s) including mobile phones, tablets and computers used to interact with our services
Location(s) both current and recent which are used to locate you in the event of an emergency
Alerts triggered by you or by the system on your behalf and their outcomes
Timers counting down to the expected end time of an activity
Geo-locations and dates/times
Next-of-kin or other people you want notified if anything happens to you
Medical information (if you choose to provide it) critical for medical teams to know in the event of an emergency
Safety Pods to which you belong
If you are a Responder for one or more Safety Pods
If you are an Owner of one or more Safety Pods
purposes for which we collect data
The Personal Data that we collect and/or process is essential to the provision of our Services which include:
Registering to use our Services
Notifying Responders whenever an alert is triggered
Monitoring Timers and triggering alerts if they expire without being cancelled
Providing Responders with your location whenever an alert is triggered
If you provide specific consent to a Pod Owner for a defined time period, your location may be monitored by them in 'real-time' - otherwise your location is NOT available to the Pod Owner, Pod Responders, or Pod Members
You may request a Responder to have access to your 'real-time' location for a specific purpose
Entering, exiting or failing to arrive at a geo-location may be used to trigger an alert
Reporting on alerts triggered and their outcomes
Notifying next-of-kin or other contacts you have specified in the event of an emergency
Providing data that you have specified to medical teams in the event of a medical emergency
Billing or collecting payments for our services
Participating in surveys to improve our services
Customising the advertising and content that you see (if you have opted-in to receive advertising, or it is being delivered as part of your plan)
Reaching out to you with marketing messaging (if you have opted-in to receive it)
Registering to attend events, webinars or seminars
Processing your personal data
The legal basis on which we process your Personal Data includes:
Contractual necessity, i.e. processing necessary for the performance of a contract with you
Personalising, improving or operating our services
Fulfilling requests you make
Complying with legal obligations, resolving disputes, or enforcing agreements
Protecting, investigating, and deterring fraudulent, harmful, unauthorised, or illegal activity
Enabling Responders to organise help for you in the event of an emergency
If you contact us with a referral for a friend, family member, colleague or acquaintance and provide us with their contact details, you represent that you have their permission to do so. We will send them a one-time email or text message inviting them to subscribe to one or more of our Services and may maintain an activity log to show that a referral was received.
Accuracy of personal data
You warrant that any Personal Data that you provide is accurate. Certain data is essential to the operation of the Services and must be supplied but you have a choice over whether or not to provide any of the optional data. You can sign-up, and therefore consent, to receive marketing email or newsletter communications from us, but you can update your preferences by using the "Unsubscribe" link found in any such emails or by contacting us as outlined below.
Data Subject Rights
You have certain rights with respect to your Personal Data as set out below. There may be some circumstances where we may not be able to fully comply with your requests, or we may ask that you provide us with additional information in relation to your request. For example, we may require additional Personal Data to confirm your identity. However, we will respond to any request that you make to let you know of our decision.

Access - you can request a copy of your Personal Data which will be provided to you in a reasonable timeframe in PDF or other readable format
Correction - if you believe that any of your data is incorrect or incomplete, you may be able to update it through the Services and if this is not available, you can request that we update it
Deletion - you can request that we delete some or all of your Personal Data - however if this data was provided to us as part of your employment, we will be obliged to notify your employer
Objection - you can object to the collection or use of your Personal Data for specific purposes
Cease Processing - you can direct us to stop processing your Personal Data - however if we are processing Personal Data at the direction of your employer, we will be obliged to inform your employer of your request to cease processing
Portability - you can request a copy of your Personal Data in machine-readable format (typically CSV or XML) - you can also request that we transmit that data to another entity where it is technically feasible and financially affordable
Data is only retained for as long as necessary to provide the Services or where we are legally obliged to retain it. For example, we are legally obliged to retain any billing information for 7 years. Location data needs to be retained to enhance the capabilities of the service to help keep you safer.
We and our third party service providers automatically collect some information about you when you use our Services using methods such as cookies and tracking technologies. Information automatically includes IP addresses (Internet Protocol), browser type, Internet Service Provider (ISP), referring/exit pages, type of device, device operating system, device identifier, and/or clickstream data to analyse trends and administer our website and our Services.
In addition, some of our Services capture network information to help us identify issues and to develop solutions to them.
sharing your personal data
We do not sell or rent your Personal Data to third parties.
In order to provide you with the Services, we may need to share elements of your Personal Data with third parties who provide services on our behalf. Examples include sharing location data with a mapping provider so that it can be displayed on a map, or specifying billing amounts to a payment provider. In any event, we only share the minimum amount of Personal Data necessary to complete the specific task which the third party provides on our behalf. These third parties have their own Privacy Policies and are bound by them.
In response to legal obligations or court orders or similar legal process, we may be required to disclose Personal Data to law enforcement, government or other third parties. In so far as is legally possible, we will restrict the amount of Personal Data disclosed to the minimum required to meet our legal obligations. Where we are legally permitted to do so, we will inform you of the request for access to your Personal Data, and the data that we were obliged to provide.
Security of your Personal Data
We are committed to protecting the Personal Data that you share with us and we use all reasonable means at our disposal to do so. We use a combination of industry-standard security technologies, procedures and organisation measures to help protect your Personal Data from unauthorised access, use or disclosure.
We recommend that you take every precaution in protecting your Personal Data when accessing the Internet from any of your devices. For example, change your passwords often using a combination of letters, numbers, and other permitted characters, and make sure you use a secure browser.
In the event of a breach of data security in systems under our control that leads to accidental or unlawful destruction, loss, alteration, unauthorised disclosure of or access to your Personal Data, we will notify you promptly and without undue delay, and will take all reasonable steps to minimise harm and secure your Personal Data. Notifications may be issued through any of the communication channels that we have on file for you.
We will also comply with our legal obligations to notify the appropriate authorities in the event of a data breach.
Linked websites and third party services
Transfer and storage of personal data
Data is hosted in European Data Centres but the nature of global Internet-based services means that for operational reasons, it may be necessary to transfer data outside the EU. However, should any such transfer take place, it will be done for technical or financial reasons, and shall only be to countries with which there are reciprocal data protection policies in place with the EU.
We use a variety of third party tools within our business in which it is necessary to store elements of your Personal Data, e.g. accounting software, CRM software, analytics tools. These third party tools are commonly available and we rely on their Privacy Policies to protect any Personal Data stored by them that is essential to their operation for our business. We take reasonable measures to minimise the Personal Data stored on them.
We issue several types of communication across a number of channels. If you have opted-in to receive marketing communications from us, you can change your mind at any time and opt-out from future marketing emails.
Some service plans may specify that a condition of reduced pricing is that you will receive geo-targeted advertising messages. If you choose to opt-out of receiving these messages, you will be obliged to upgrade to a full price subscription, or to terminate your use of the Services.
If you are on a full price subscription and have opted-in to receive geo-targeted advertising, you may opt-out at any time.
Service Announcements are used to inform you about changes to the Services, or to provide information about issues that have occurred. You may not opt out of these communications as they are essential to the operation of the Services.
